Implement the option of a preferred name in the patron record with the addition of the Legal Name field.
Patrons sometimes use a name other than their legal name. You can accommodate that with a short edit in the patron record.
Editing an Existing Record
- Open the patron record and select edit from the top toolbar
- Click insert and select Legal Name in the dropdown menu
- Now type or copy/paste the contents of the patron name to the space provided for Legal Name.
- Click OK
- Now edit the original text in the Patron Name field to what the patron prefers to be called.
- Save these changes.
Creating a New Record
- Create the Patron Record as you normally would for all fixed fields
- Enter the Barcode
- Enter the preferred name in the Patron Name field. The format for the preferred is Last Name, First Name Middle name or initial. However if the preferred name is a single word or phrase enter it without punctuation. This will allow printed documents to correctly format.

Example: Lady Gaga - Continue with variable fields as normal, using the patron’s legal name to create the Apatid.
- Once the template includes are complete Select Insert from the top tool bar and select Legal Name
- Enter the patrons, full legal name Last Name, First Name Middle name or initial.

Note:
- Libraries who use collections will need to make changes to reports before using.Sierra, Encore and Vega will display the new contents of the name field and the legal name is safely stowed away in the Legal Field.
- Both fields are searchable. You may even use the Legal Name in notices.
